Harborstone
A patient acquisition system built to improve local visibility, capture high-intent inquiries, and reduce missed follow-ups across the practice.

Project Challenges
Harborstone had built a strong reputation through referrals, but its digital patient journey was fragmented. Prospective patients were finding the practice online, yet appointment inquiries were being lost between website forms, phone calls, and manual staff follow-ups.
The priority was not simply generating more traffic. It was creating a dependable system that could turn search visibility into booked consultations.
Limited visibility for high-value local dental searches
Website traffic wasn't consistently converting into appointment requests
New inquiries were tracked manually across calls and inboxes
Follow-up depended heavily on front-desk availability
No structured reactivation process for inactive patients

The Solution
We designed a connected acquisition and follow-up system around the practice's highest-value services.
Local SEO work focused on treatment and location-based searches, while key service pages were restructured around clearer patient intent, trust signals, FAQs, financing information, and stronger appointment CTAs.
Behind the website, Nitroger designed a CRM pipeline separating new patient inquiries by source, treatment interest, appointment status, and follow-up stage. Automated email and SMS sequences supported missed inquiries, consultation reminders, and patient reactivation.
Instead of treating SEO, the website, and CRM as separate projects, the entire system was structured around one objective: turning more local searches into attended appointments.

The Result
The resulting system created a clearer path from patient discovery to inquiry, follow-up, and appointment scheduling. Search visibility supported acquisition while the CRM reduced the number of opportunities dependent on manual staff follow-up.
